How Club Solo handles information across our marketing site, guided business platform, connected services, and customer-powered experiences.

What this policy covers

This Privacy Policy explains how Club Solo collects, uses, discloses, and protects personal information when you visit joinclubsolo.com, use the Club Solo platform, contact us, purchase a membership, or interact with a website, booking page, form, or other experience powered by Club Solo.

A Club Solo customer controls the business information and client data they place in their workspace. When we process that data to provide the platform, we act on the customer's instructions. The customer is responsible for its own privacy notices, permissions, and lawful use of client data.

Information we collect

Information you give us

  • Account and contact details, including name, email, phone number, login information, and team role.
  • Business profile information, such as trade, location, services, pricing, availability, policies, branding, domain, and public business details.
  • Content you create or upload, including text, images, audio, transcripts, service descriptions, blog drafts, forms, and instructions given to AI-assisted tools.
  • Client and booking information entered into the platform, such as contact details, appointments, class or group registrations, communications, and professional notes.
  • Payment, subscription, and transaction details. Complete card details are collected by Stripe rather than stored by Club Solo.
  • Messages, support requests, survey responses, and other communications with us.
  • Visibility-check details, including your email, business name, service, location, public link, marketing choice, sampled public search and Google business evidence, owned-website mobile performance evidence when applicable, and the scores derived from eligible evidence.

Information collected automatically

We collect technical and usage information such as IP address, approximate location derived from IP, browser and device information, referring page, pages viewed, interactions, timestamps, diagnostics, and a Club Solo visitor identifier stored in your browser.

Information from connected services

When you connect or use another service, we may receive information from it as needed to provide the requested feature. Examples include Stripe, Google services, Calendly, calendar providers, communications providers, and review or business-profile services. The information available depends on the connection and permissions you approve.

How we use information

  • Provide, operate, secure, troubleshoot, and improve the platform.
  • Create and host customer websites, service listings, forms, booking experiences, and other customer-requested content.
  • Process purchases, subscriptions, bookings, payments, payouts, and related records.
  • Run AI-assisted drafting, transcription, image generation, and workflow features requested by a user.
  • Maintain client profiles, professional notes, schedules, messages, reviews, and connected business information.
  • Measure website and product usage, understand referrals, and evaluate marketing.
  • Send transactional messages, requested results, service notices, support responses, and marketing communications where permitted.
  • Run requested public business searches, test an eligible owned website's mobile performance, create Visibility, Reputation, and Proof scores, and save the resulting report.
  • Prevent fraud, abuse, security incidents, and violations of our terms.
  • Comply with legal obligations and protect our users, Club Solo, and others.

Section 04

AI-assisted features

Club Solo includes tools that can turn spoken or written input into drafts, images, service descriptions, website content, blog posts, and professional notes. To fulfill a request, relevant input may be sent to an AI or model provider acting for us.

AI output can be incomplete, inaccurate, or unsuitable. Users must review it before publishing it, relying on it, or adding it to a client record. We do not use customer or client content to train public general-purpose models for our own benefit. Additional commitments are described in our AI Integrity Policy.

Section 05

Google-connected services

If you authorize a Google connection, Club Solo accesses only the Google data the feature you enabled requires:

  • Google Calendar — free/busy intervals for the calendars you select (times only, never event titles, guests, or descriptions); the names and identifiers of your calendars, so you can choose which ones apply; and the calendar events Club Solo itself creates to mirror your bookings.
  • Google Search Console — site verification tokens and the search performance metrics for your own website: clicks, impressions, click-through rate, average position, and the queries and pages they belong to.
  • Sign-in — your name, email address, and Google account identifier, used only to confirm who you are.

We do not request access to Gmail, Drive, Photos, Contacts, or any other Google service.

We use Google user data only to provide or improve the user-facing feature you requested, maintain security, and comply with law. Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. You can revoke a Google connection through your Google account or available Club Solo settings.

Google user data stays out of our AI features. We do not use data received from Google APIs — whether raw, aggregated, anonymized, or derived — to develop, train, improve, or fine-tune any machine learning or artificial intelligence model, ours or anyone else’s, and we do not transfer that data to third-party AI or machine-learning services. The use of raw or derived user data received from Workspace APIs adheres to the Google User Data Policy, including the Limited Use requirements.

How we share it. We do not sell Google user data, and we do not transfer it to advertisers, data brokers, or AI model providers. Google user data is disclosed only to the infrastructure providers that host and operate Club Solo on our behalf — our application hosting and managed database — under contracts that limit them to processing it for us, or where the law requires disclosure.

How we protect it. Google authorization tokens are encrypted at rest with AES-256-GCM under a key held outside the database, and are never sent to your browser. Google data travels over encrypted connections, is confined to the business account that authorized the connection, and is reachable only by users that account has granted access to.

How long we keep it, and how to delete it.Calendar free/busy times are held only in short-lived memory while availability is calculated and are never written to our database. Search Console performance metrics are cached and refreshed on a rolling basis for the reporting window shown in the portal. Authorization tokens and connection settings are kept only while the connection is active. Disconnecting a Google connection in Club Solo deletes the stored tokens and the data cached for it; you may also revoke access at any time from your Google account’s permissions page. Deleting your Club Solo account removes the associated Google connection data.

Section 06

When we disclose information

We disclose information only as needed for the purposes in this policy, including to:

  • Infrastructure and operations providers, including Vercel and providers supporting databases, storage, security, and application delivery.
  • Payment providers, including Stripe, for payment processing, connected accounts, payouts, fraud prevention, and billing.
  • Communications and customer-management providers, including Resend and Brevo, for transactional email, permitted marketing, and contact management.
  • Analytics and advertising providers, including Google Analytics and Meta, subject to applicable choices and law.
  • Scheduling and connected-service providers, including Calendly and services a customer chooses to connect.
  • Public search, business-information, and website-performance providers, including DataForSEO, Google Places, and Google PageSpeed Insights, when you request a visibility report.
  • AI and media-processing providers when needed to produce a user-requested result.
  • Professional advisers, authorities, or transaction parties when reasonably necessary to comply with law, protect rights and safety, or complete a financing, merger, acquisition, or sale.

We do not sell personal information for money. Some advertising or analytics disclosures may be treated as a “sale,” “sharing,” or targeted advertising under certain privacy laws. Where applicable, you may opt out as described below.

Section 07

Customer workspaces and client data

Customers retain their rights in the content, client information, and business data they submit to Club Solo. They give us permission to host, process, adapt, display, transmit, and back up that data only as needed to provide, secure, support, and improve the Services.

Customers must have a lawful basis and any required notices or consent before entering another person's information. Club Solo is not currently offered as a HIPAA-compliant medical-records system. Do not submit protected health information or other specially regulated data unless Club Solo has expressly agreed in writing that a particular feature and account may process it.

If you are a client of a business using Club Solo and want to exercise rights concerning information in that business's workspace, contact the business first. We will assist the customer as required.

Section 08

Cookies and browser storage

We and our providers use cookies, pixels, local storage, and similar technologies for core functions, preferences, analytics, attribution, fraud prevention, and advertising measurement. Details are in our Cookie Policy.

Analytics technology runs by default and you can turn it off at any time in the Club Solo privacy controls. Advertising technology stays off until you turn it on there. You can reopen those controls from the site footer, use browser or provider controls, and contact us to exercise rights available under applicable law.

Section 09

Retention and security

We retain information for as long as reasonably necessary to provide the Services, maintain legitimate business and security records, resolve disputes, enforce agreements, and comply with tax, accounting, payment, and other legal obligations. Retention varies by data type, account status, feature, and legal requirement.

We use administrative, technical, and organizational safeguards designed to protect information. No storage or transmission system is completely secure, and we cannot guarantee absolute security.

Saved visibility reports and their collected public evidence expire after 30 days. We may retain the captured lead record, consent choice, trade and destination categories, and score bands under our customer-management retention policy. Email hello@joinclubsolo.com to request deletion of a saved report or its related lead record.

Section 10

Your choices and rights

Depending on where you live, you may have rights to:

  • Access, correct, delete, or receive a copy of personal information.
  • Object to or restrict certain processing.
  • Withdraw consent where processing relies on consent.
  • Opt out of targeted advertising, sale, or sharing as those terms are defined by applicable law.
  • Appeal a decision concerning a privacy request.

Email hello@joinclubsolo.com to make a request. We may need to verify your identity and authority. You can unsubscribe from marketing emails using the link in the email. Transactional and account messages may continue while needed to provide the Services.

Section 11

International use and children

Club Solo operates from the United States. If you use the Services elsewhere, information may be processed in the United States and other countries where our providers operate, subject to appropriate legal safeguards where required.

The Services are intended for business users age 18 or older. We do not knowingly collect personal information directly from children.

Section 12

Changes and contact

We may update this policy as the platform, our providers, or applicable law changes. The updated date above shows when the current version took effect. Material changes may also be communicated through the Services or by email when appropriate.
